Job Summary:

The Administration Manager will oversee internal staff coordination, compliance, documentation, scheduling, and operational efficiency within the CIRAS framework. They will ensure that all human resource and logistical aspects of the CIRAS ecosystem run smoothly covering onboarding, time tracking, task allocation, policy updates, interdepartmental communications, and performance oversight.

This role is critical in maintaining structured and accountable management of staff and internal communications across all CIRAS-affiliated projects.


Key Responsibilities:

  • Internal Staff Coordination
    • Maintain the centralized CIRAS employee/staff registry.
    • Manage onboarding/offboarding processes and access control to internal systems.
    • Monitor and assign staff roles, reporting lines, and responsibilities.
  • Operational Workflow
    • Organize staff scheduling, meeting agendas, and project workflows.
    • Maintain compliance documentation and track internal approvals.
    • Act as liaison between departments to enforce internal timelines and protocols.
  • Communications & Reporting
    • Draft and distribute internal communications, memos, and policy updates.
    • Prepare weekly status reports for executive leadership.
    • Maintain internal dashboards (e.g. HR, task management, leave tracking).
  • Compliance & Records
    • Ensure employee files are current and audit-ready.
    • Support the legal/compliance team in ensuring policy adherence across projects.
    • Handle confidential records with GDPR-compliant practices.
  • Software & Systems Administration
    • Work with tools like Asana, Jira, Notion, Google Workspace, and CIRAS-specific interfaces.
    • Monitor task progress and KPI adherence using internal tracking software.

Required Skills & Qualifications:

  • Bachelor’s degree in Business Administration, HR, or related field
  • Minimum 3 years of experience in internal operations, administrative management, or HR coordination
  • Familiarity with project management and internal resource systems (ERP, HRIS, CRM)
  • Excellent verbal and written communication
  • Strong organizational, multitasking, and analytical skills
  • Discretion and trustworthiness in handling sensitive information
  • Proficient in Google Workspace, Microsoft Office, and modern task tracking platforms

Preferred Experience:

  • Experience in managing internal frameworks within R&D, innovation, or sovereign-backed projects
  • Familiarity with regulatory frameworks related to tokenization, DLT, or fintech environments
  • Background in supporting diverse, multicultural, remote/hybrid teams

Working Conditions:

  • Full-time; Monday–Friday
  • Hybrid work model (in-office presence may be required for executive meetings)
  • Travel optional for strategic internal events or offsites
